Your guide to using FAU's Interlibrary Loan services

How do I get my request?

Please note that your Article or Book Chapter will remain available to download for thirty days from notification. It will then be deleted from our server.


1. When you receive an email notice that your Article or Book Chapter is available, you will need to log onto your ILL Account to download the file.

2. Once you are logged on, scroll to your Electronically Received Articles section on the Main Menu. Your new article should be listed underneath. Click on View and the article will open in your default browser. You can then print, save, or download the file if desired.

3. If you would like to look at the full record, click on Actions to open the drop down menu then click on Details. This will open up the full record for the request.

4. Hint, when you save your file, take note of the file name and location and adjust as needed before saving.

5. If you have any trouble saving the document or if there is a problem with the document, such as a poor scan or incorrect article, please contact the ILL Office for help.

6. If you realize that it has been more than thirty days since the document was posted to your account, you will need to put in a new request for the item as it has been deleted from our servers.

All ILL holds are available for pickup at the Service Desk whenever the library is open.

 

  • When an item is processed by the ILL Office, an automatic Email Notification is sent to let you know that your request is now available.
  • The email will be from lyill@fau.edu and will have a subject line of Requested loan has arrived.
  • All ILL requests are kept behind the Service Desk.
    • Generally, the ILL Department will deliver processed requests to the Service Desk within 30 minutes of the Email Notification being sent.
  • You will need your Owl Card or ID in order to check out your ILL hold.
    • If you have an Authorized User picking up your hold, they will need to show their ID to Access Services staff and have either your Owl Card or your ID to pick up your hold.
  • The ILL request will be checked out to your ILL account, not your FAU library account. To check your due date or renew your request, you will need to log onto your ILL Account.
  • Any special instructions set by the lending library will be honored.
    • for example "No Renewals", or "Library Use Only"
  • For items marked "Library Use Only":
    • The item will not be checked out to your ILL account.
    • The item may not be removed from the building.
    • You may have access to the material any time the library is open.
    • You must return the item to the Service Desk after each use.
  • All requests are held for you until the due date set by the lending library for the request.
    • Regardless of when you pick up your ILL request, the due date set by the lender will be your due date.

Jupiter

  • When an item is processed by the ILL Office, an automatic Email Notification is sent to let you know that your request has been received.
  • The email will be from lyill@fau.edu and will have a subject line of Requested loan has arrived.
  • Your item will be placed by ILL staff into the intra-campus courier system.
    • Campus deliveries occur once a day, Monday through Friday.
    • Generally allow 2-3 business days from receiving the Email Notification of your item's arrival for it be available for you to pick up.
  • When the Jupiter Library receives your hold, they will email you to let you know.
    • The email will be from npbill@fau.edu and will have the subject line of Jupiter Interlibrary Loan Request Has Arrived.
  • All ILL and UBorrow holds are placed into the Smart Lockers located in the 24-hour study area for you to pick up at your convenience. You will need your Owl Card to access the lockers.
    • To contact the Jupiter Library you can call them at 561.799.8560 or Email them directly.
  • The ILL request will be checked out to your ILL account, not your FAU library account. To check your due date or renew your request, you will need to log onto your ILL Account.

  • For items marked "Library Use Only":
    • The item will not be checked out to your ILL account.

Harbor Branch

  • When an item is processed by the ILL Office, an automatic Email Notification is sent to let you know that your request has been received.
  • The email will be from lyill@fau.edu and will have a subject line of Requested loan has arrived.
  • Your ILL hold will then be checked out to your ILL Account by ILL staff.
    • To check your due date or renew your request, you will need to log onto your ILL Account.
  • Your ILL hold will then be shipped to the HBOI Library for you to pick it up.
    • Generally allow at least 2-3 business days from receiving the Email Notification of your item's arrival for it be available for you to pick up.
  • When the HBOI Library receives your hold, they will email you to let you know. Currently, the HBOI library is not staffed. All requests are routed a local non-library staff member who will contact you about delivery of your item. Please coordinate with them how you will receive your request.
  • All ILL holds are kept on the Access Services desk at the Harbor Branch Library. see previous note above
    • You can pick up your ILL holds with authorized Owl Card access.
  • Any special instructions set by the lending library will be honored.
    • for example "No Renewals"
  • If the lender requires the item to be 'Library Use Only', HBOI patrons will need to view the material at the Jupiter Campus Library. The HBOI Library is not currently able to provide this service.
  • All requests are held for you until the due date set by the lending library for the request.
    • Regardless of when you pick up your ILL request, the due date set by the lender will be your due date.

Davie - Tower - Sea Tech

  • Davie Students and Sea Tech Students must pickup their holds from the Boca Campus Library.
  • Students who work for Faculty members may be able to have items delivered with the pre-approval of the Faculty member and the ILL Manager, as the item could be sent to the Faculty member's office.
  • Tower Students may have an FAU ILL Account, if they choose Boca or Jupiter as their pick-up location.
    • For example, if there was an FAU book at the Jupiter Campus you wanted, you could put in a Branch Campus Delivery request for it. It would then be pulled and sent to the Boca Campus, where you would have to come to pick it up.
  • Tower Students who work for Faculty members may be able to have items delivered with the pre-approval of the Faculty member and the ILL Manager, as the item could be sent to the Faculty member's office.
  • Faculty and Staff at Davie, Tower, Sea Tech Campuses may have their ILL holds shipped via campus mail directly to their office.
  • When an item is processed by the ILL Office, an automatic Email Notification is sent to let you know that your request has been received.
  • The email will be from lyill@fau.edu and will have a subject line of Requested loan has arrived.
  • You may receive a phone call to confirm that your office address information is still correct.
  • Your ILL hold will then be checked out to your ILL Account by ILL staff.
    • To check your due date or renew your request, you will need to log onto your ILL Account.
  • Your item will be placed by ILL staff into campus mail, shipped directly to your office.
    • Generally allow 2-3 business days from receiving the Email Notification of your item's arrival for it be delivered to your office.
    • Any questions about your hold, please contact the ILL Office directly.
  • Any special instructions set by the lending library will be honored.
    • for example "No Renewals", or "Library Use Only"
    • If the item is listed as "Library Use Only", it will not be shipped to your office. Instead it will be available for your use at the Boca Campus Library.
Boca Raton patrons may choose to pick up their Branch Campus Deliveries, UBorrows, and Interlibrary Loans from the 24/7-access Lockers in front of the Wimberly Library near Dunkin'.

 

  • If you have Boca Locker Pickup set as your desired Delivery Location on your ILL Account, chose Locker Pickup - BOCA ONLY when placing your UBorrow request, or chose Yes to the question 'Would you like to pick up this item from our 24/7-access lockers outside the Wimberly Library?' when filling out an ILL Request Form, your Branch Campus Delivery, UBorrow, or Interlibrary Loan request will be placed in the 24/7-access lockers in front of the Wimberly Library at the Boca Raton campus when they are ready for you to pick up.
  • You should receive an email notification that the item has been received by the ILL Office on the Boca Raton Campus to let you know that the item is being processed and should be in the lockers soon. Please allow at least 30 minutes for staff to place your request in the lockers.
  • You will need your Owl Card to access the lockers.
  • After 48 hours, your item may be moved to the holdshelf at the Service Desk inside the Wimberly Library.
  • If you would like to change the Delivery Location of material that has already been received, please contact the ILL Office directly for help by emailing lyill@fau.edu or by calling 561.297.0563 during office hours.
If you are a faculty member who has an office on the Boca Raton campus, you can have your Branch Campus Delivery, UBorrow, and Interlibrary Loan requests delivered right to your office!

 

  • Any Boca Raton faculty member who would like to use this service for Branch Campus Deliveries or Interlibrary Loans should have their Delivery Location set to 'Boca Campus Delivery (Faculty Only)' on their ILL Account. For step-by-step instructions on creating an ILL Account or on updating your user information, please see the ILL Account Information tab on this Help Guide.
  • For UBorrow requests, faculty should choose the pickup location of Boca Faculty - Office Delivery when placing the request.
  • You should receive an email notification that the item has arrived at the ILL Office on the Boca Raton Campus to let you know the item is being prepared for delivery to your office.
  • ILL staff will use the FAU Directory to verify your current office location when an item is ready to be delivered.
  • Deliveries are made once a day, Monday through Friday. Delivery will usually occur on the same day as received from the lending library, but due to weather and time constraints may be the next day.
  • If unable to deliver directly to your office, ILL staff will try to deliver the material to your department mailbox if possible. Items will not be left in an unsecured location.
  • ILL staff will try to make a second attempt to deliver your request on the next business day. In the interim, your item will be placed behind the Service Desk inside the Wimberly Library. If the second delivery is also unsuccessful, your item will be left on the holdshelf behind the Service Desk inside the Wimberly Library to be picked up at your convenience. Unfortunately, ILL staff are unable to allocate time to continue to make repeated delivery attempts.
  • If you would like to change the Delivery Location of material that has already been received, please contact the ILL Office directly for help at either lyill@fau.edu or by calling 561.297.0563 during office hours.

If you are registered as a distance learner, you are eligible to have your ILL holds shipped directly to your home address.

 

  • ILL staff must confirm that you do not have any classes on campus.
    • If you already have an ILL Account, please contact the ILL Office to have your delivery method changed. It must be pre-approved by ILL staff before this service may be used.
    • If you do not have an ILL Account, mark "Distance Learner" for your FAU Campus Delivery Location. ILL staff will verify your status when their clear your new account.
  • If you are currently abroad, we can only fill your Article Requests.
  • If you are currently out of state, you will need the pre-approval of the Head of ILL to have anything shipped to you.
    • Please note we can only do this in special circumstances.
  • When an item is processed by the ILL Office, an automatic Email Notification is sent to let you know that your request is now available.
  • The email will be from lyill@fau.edu and will have a subject line of Requested loan has arrived.
  • You may receive a phone call to confirm that your home address information is still correct.
  • Your ILL hold will then be checked out to your ILL Account by ILL staff.
    • To check your due date or renew your request, you will need to log onto your ILL Account.
  • Your item will be shipped via US Mail - Library Rate.
    • Items generally take 3-5 business days to be delivered, though it can take longer for greater distances or during times of high mail volume at the Post Office.
    • We can ship items rush, but you will responsible for for any shipping costs over the amount subsidized by FAU for each request. We will not charge your account without your written pre-approval.
